Guide for Parents & Guardians

This page explains in plain language how TheAwardVault works for children under 13, what information we collect, and what you can do as a parent or guardian. For the formal terms, see the Children's Privacy Policy.

Current signup availability: TheAwardVault currently limits new account signup to people age 18 or older while the minor-account architecture is under legal review. An under-18 signup attempt creates no Platform account and does not ask for a parent email. The limited denial record and its 72-hour deletion window are described in the Children's Privacy Policy.

For an existing account held by someone age 13 to 17: we do not ask them for your email address or contact you about it. The privacy protections below still apply in full until they turn 18 — their trophies stay private by default, cannot be made public or embedded elsewhere, and are never used for advertising. From 13, they can also make their own privacy requests directly. See Section 8 of the Children's Privacy Policy.

If you set up an account for your child before they turned 13: your access to the Parent Portal continues after their 13th birthday. We do not remove it automatically, and we do not ask you to consent again. This means a 14-year-old whose account you set up at 11 has different parental access from one who signed up at 13 — the difference comes from how the account started, not from their age now. If you would like your access removed, contact us and we will remove it. Access ends automatically when they turn 18.

What is TheAwardVault?

TheAwardVault is a platform that lets organisations — such as schools, sports leagues, and community groups — award digital trophies to recognise achievements. New account signup is currently adults-only; the sections below describe existing child accounts and the reviewed parental-consent flow that would apply if minor onboarding is re-enabled.

Your child's account

If minor onboarding is re-enabled after review, when someone creates an account for a child under 13, we pause the account and send you a consent request by email. Nothing is activated until you approve it.

You receive an email

With a link to review the request. The link is private and expires in 72 hours.

You choose

Review what data we collect and choose a privacy level. Then approve or decline.

Account activates

If you approve, your child's account becomes active. If you decline or don't respond in 72 hours, the account and the information collected to create it are deleted. We keep only a record that consent was refused or expired.

What information we collect

We collect only what is needed for the account to function:

  • Display nameHow your child appears on trophies and their profile.
  • Email addressUsed for account access and to send your child notifications about trophies.
  • Date of birthUsed only to confirm age. It is stored encrypted and is never shown to other users.
  • Your email addressUsed to send you the consent request. We keep it as a secure hash for the consent record; the plain address is removed once the consent step is complete.
  • Trophy recordsTrophies awarded by organisations your child belongs to.

We do not use your child's information for advertising, tracking, or profiling, and we do not sell or share it.

Who can see your child's information

This depends on the privacy level you choose when you approve the account:

Basic (required)

Only your child and the organisations that award them trophies.

Shareable links

Anyone your child sends a private link to (not searchable by search engines).

Public discovery

Anyone on the internet, including search engines. Your child's display name is shown.

Third-party sharing

Named third parties (there are currently none). We will notify you before adding any.

You can change the privacy level at any time by contacting us.

What you can do

See your child's data

Contact us to request a copy of all information we hold.

Correct information

Log in to your child's account to update their display name. Contact us for other corrections.

Delete the account

Contact us to delete the account and your child's personal information. We will confirm when it is done. Two things deliberately survive: a record that the deletion happened, and an organisation's own record that it issued an award, with your child removed from it.

Change the privacy level

Contact us to adjust what data is visible and to whom.

Stop data collection

Contact us to close the account. No further information will be collected.

We verify that you control the email address on file before acting on a request and respond within 30 days.

Emails we send your child

We only send transactional emails: account confirmation, trophy notifications, and support replies. We do not send promotional or marketing emails to children. Email is delivered through Oracle (OCI Email Delivery), a contracted service provider acting on our behalf.

Contact us

If you have any questions, wish to exercise your rights, or have concerns about your child's data, please contact us. We respond to verified requests within 30 days.
